What is TOM?
Frequently asked questions about the product, visitor experience, CMS, workflow, modules, analytics and plans.
What is TOM?
TOM is a museum platform that provides a QR-based audiovisual guide with audio, video, multilingual content, accessibility features, CMS and analytics.
Do visitors need to download an app?
No. TOM is a web app: visitors scan a QR code and open the experience directly in the browser, with no download required.
Accessibility: does TOM comply with the Stanca Law / AgID Guidelines?
For public institutions, TOM is developed to align with the AgID Accessibility Guidelines under Law 4/2004, with WCAG 2.1 AA requirements, including screen reader compatibility, subtitles and transcripts.
GDPR: do you collect personal data?
By default, TOM works with aggregated and anonymized data, following a privacy-by-design approach. Any consent-based features or additional functionalities are activated only when necessary and aligned with the museum’s policies.
Who owns the texts and audio content?
Content can be provided by the museum or produced by TaleorMade on request. In all cases, editorial governance and final approval remain with the museum.
Is TOM suitable for temporary exhibitions and permanent collections?
Yes. The system is designed to create different editions and visitor journeys over time, reusing assets while maintaining editorial consistency.
How long does it take to get started?
Just a few seconds: QR code → language selection → start. The goal is to minimize friction inside the gallery.
Is it compatible with all smartphones?
TOM is browser-first and designed for modern smartphones. It requires no installation and does not depend on proprietary devices.
Are accessibility options available?
Yes: subtitles and transcripts, together with a content structure designed for inclusive use.
Is social sharing available?
Yes, if the museum wishes to enable it. Social sharing can be activated on request and can help generate interest and visibility around exhibitions and content.
Why is a web app better than a native app?
Because it removes the download barrier: QR code → content. Updates are also immediate, without going through app stores, and the experience remains consistent across devices, with less friction and higher adoption.
Can visitors create their own journey?
Yes. Visitors can create their own journey and save artworks in their personal gallery.
CMS & Workflow
Editorial Control and Publishing.
Structure, review and approve: a replicable standard.
Can the museum manage content independently?
Yes. In SaaS (Self-Managed) mode, the museum can manage POIs, journeys, languages and assets directly from the CMS.
How do you ensure content quality?
Through editorial governance: reviews, approvals and quality checks. AI accelerates production, but standards remain human-guided.
How complex is it to update an exhibition or add a language?
It is a structured process: content is organized and versioned. The goal is to prevent every update from becoming a new project.
What changes in Managed mode?
The museum can delegate project management, content production, quality assurance and ongoing support.
Is it possible to create a museum e-shop?
Yes, on request: the Shopping module allows the museum to create and manage an e-shop, with connections between content and products.
Do you provide an agenda for current and upcoming exhibitions?
Yes: the Exhibition Agenda module includes a calendar and dedicated catalogues for current and upcoming exhibitions, supporting both communication and planning.
Which modules are typically activated?
Multilingual audio, video storytelling, accessibility, in-depth content, visitor journeys and maps. CMS and analytics complete the management and continuous improvement framework.
Ticketing and monetization: how do they work?
Possible options include sponsors and partners, donations and premium content. Ticketing is available as an optional module when it is aligned with the museum’s strategy.
Analytics
Measure to Improve.
Practical insights for curatorship and operations — not vanity metrics.
What kind of data can I see?
Examples include the most consulted POIs, average time spent, languages used, journey performance such as completions and drop-offs, and trends by period or edition.
Can Google Analytics be integrated?
Yes, on request: Google Analytics integration is available to provide a unified view of traffic and events within the tools already used by the museum.
Do analytics comply with the museum’s policies?
Analytics settings can be configured according to the institution’s policies. The goal is to improve the visitor experience while respecting the museum’s context.
How does it support curators?
The dashboard shows which artworks and POIs are most consulted, together with languages and time spent: useful insights for curatorship, signage, visitor journeys and programming.
Is periodic reporting available?
Optional: monthly or quarterly PDF reports with KPIs, trends and operational recommendations — a valuable basis for renewal and continuous improvement.
Plans
Predictable Costs, Transparent Model.
Fixed fee + setup for each exhibition or collection, defined before the project starts. No usage-based pricing.
Why are prices not shown on the page?
The setup depends on specific parameters, such as the number of POIs, languages and media assets. We prefer to provide a clear, fixed-scope proposal rather than generic estimates, keeping costs predictable and avoiding surprises.
Is it a token-based or pay-per-use model?
No. TOM does not use tokens, credits or usage-based pricing: it is based on a fixed fee, the “Digital Continuity Service”, and an agreed setup.
Are there different tiers, such as Entry, Standard and Pro?
Yes. Entry is designed for temporary exhibitions, including 3–6 month projects; Standard is designed for permanent museums; Pro is designed for 5+ languages and extended content production. Details depend on the agreed scope.
What does the annual fee include?
Hosting and bandwidth, updates and maintenance, and remote technical support. Optional: periodic PDF reports and Google Analytics integration.
For public museums: why is the annual fee easier to approve?
It often falls within operating expenses, which can be easier to manage than capital investments, such as purchasing devices. We work with the Digital Transition Officer on compliance and project documentation.
Can the museum renew the service?
Yes. Renewal is the museum’s choice: operational continuity and the possibility to evolve content and modules without starting from scratch.
Partnership
How It Works.
Foundations, banks and companies can support accessibility and cultural outreach through measurable projects.
What types of partnerships are possible?
Accessibility, including multilingual content, subtitles and inclusive journeys; Education, including schools and communities; and Distributed Culture, including exhibitions, events and special content. The scope is defined together with the museum.
How is the partner acknowledged?
In a discreet, museum-appropriate way. Recognition formats are agreed with the museum, with full editorial control and careful attention to brand safety.
How is impact measured?
Through clear KPIs: adoption, such as QR scans and visitors; engagement, such as time spent and completion rates; languages and journeys used; and trends over time. A concise report is included.
GDPR: do you collect personal data?
By default, TOM works with aggregated and anonymized data, following a privacy-by-design approach. Any consent-based features or additional functionalities are activated only when necessary and aligned with the museum’s policies.
Can Google Analytics be integrated?
Yes, on request: Google Analytics integration is available to provide a unified view of traffic and events.
